Overview

Sealaska Technical Services (STS), LLC is seeking a Project Coordinator responsible for supporting a wide range of activities associated with both company and project operations.  STS is a high-energy and progressive business that provides technology integration and deployment, systems engineering, environmental monitoring/consulting, and construction management services to a variety of government and commercial clients at job sites located around the world. The position will support our growing company in the areas of event planning and logistics, expense report processing, records management, purchasing, invoicing, asset management, international shipping, travel, and training coordination.  This position requires a highly dynamic and flexible individual who can seamlessly work on multiple tasks and adapt to rapidly changing priorities. Local candidates will be considered, no relocation. 

Responsibilities

Primary Responsibilities: 

  • Provide support for client and stakeholder meetings, events, and venues including detailed planning, budgeting, and scheduling.
  • Work with project teams to determine project shipping, in-country interpreting/translation support needs and transportation requirements for equipment to be shipped to countries throughout the world.
  • When required, process applications to obtain export licenses for all equipment purchased or manufactured in the U.S. and shipped to other countries in order to comply with all U.S. export control regulations. Maintain documentation of shipping and licenses sufficient to prove compliance with these regulations
  • Serve as the training coordinator for STS personnel which consists of maintaining a master training database that captures training requirements needed to perform essential job functions, course offerings, training schedule, and other critical information to ensure company/project level training requirements are being met
  • Perform technical editing of project deliverables prior to submittal to ensure accuracy and completeness. Work with production team to ensure that all project deliverables are in the proper format, meet project quality standards and are submitted on time. 
  • Serve as the lead coordinator for the STS Records Management System. This will include serving as the administrator of the internal SharePoint site as well as a web-based reporting system used to submit formal deliverables to STS clients. 
  • Collect, organize, populate and maintain the STS Lessons Learned database which is a critical part of the companies overall Quality Assurance and Continuous Improvement Programs
  • Provide backup support in the collection of logistical information from staff and ensure the timely submittal of country clearance cables and foreign travel requests into the Department of Energy’s Foreign Travel Management System (FTMS).  Work closely with the federal travel coordinator and proactively communicate travel approval status to management and staff.
  • Prepare, enter, and facilitate the approval of purchase requisitions in the Deltek Costpoint 7 financial management system.  Receive formal deliverables, invoices and other documentation within the financial management system that triggers payment to subcontractors and vendors.
  • Assist team members with expense report processing, including verification of applied charge codes, receipt tracking and verification, and processing using the expense reporting system.
  •  Provide logistics input necessary to support proposal development, working with the project support services team to determine logistic requirements in new statements of work, prepare Statements of Work (SOW) and itineraries necessary to obtain pricing for proposals submitted to the Client.
  • Support the onboarding and training of new on company policies and procedures. 
  • Other duties as assigned.

Qualifications

Minimum Qualifications:

  • Bachelors Degree in Business or Technical field plus ten years experience in program and/or project support, government experience a plus.
  • Proficiency in Microsoft Office 365, Acrobat Pro, Deltek Costpoint 7 experience a plus.
  • A valid driver’s license is required for this position.
